Coordinator, Strategy Operations

Summary of Primary Functions

Reporting to the senior marketing manager, the coordinator will function in a dual role of providing general administrative support to the strategy teams, including processing invoices and related accounts payable activities, as well as providing administrative assistance to the senior manager/marketing.

Job Duties including, but not limited to:

  • Serve as primary contact to review, evaluate, code and enter a variety of invoices from strategy departments, resolving discrepancies as needed. Reconcile American Express statements for each strategy department.
  • Research payment history as needed and coordinate payments with vendors, responding to vendors and other payees as needed.
  • Coordinate and assist with:
    • Database and list management for a variety of initiatives and events as assigned;
    • Research on various projects as assigned;
    • Numerous projects in a fast-paced, deadline-oriented environment that supports advertising, special events, traveling exhibits, development, merchandising, outreach and education;
    • Promotion and tracking of marketing metrics;
    • Tracking inventory of items in the company store and working with vendors to replace products as needed; and
    • Collateral fulfillment for internal departments.

Required Qualifications

  • Strong administrative support skills required.
  • At least 3 to 5 years’ experience in administrative support or related areas
  • Must be a self-starter who demonstrates initiative.
  • Must possess excellent organizational skills, with very strong attention to details required.
  • Excellent verbal and written communication skills a must
  • Ability to handle adjustments to priorities and pivot easily.
  • Ability to follow through on a series of steps for multiple ongoing project coordination with a variety of individuals.
  • Must be proficient in Microsoft Office programs, SharePoint, and Teams
  • Experience with processing invoices through Accounts Payable a plus.

Location:

May be remote with occasional travel required. If DC-based, up to 10% onsite.

Salary:

$30 to $32 per hour
